Q8 Benelux, a marketing organization with the mission to become a mobility player with a strong focus on E-mobility. With an extensive portfolio of projects aimed at advancing the energy transition, Q8 is actively working to expand its network of electrical charging stations to meet the growing demand for sustainable transportation solutions. Their focus is on collaboration and efficiency, delivering high-quality mobility services to their customers on the go.

 

The Challenge 

In July 2023, Q8 began searching for a robust solution to manage their complex portfolio structure. With a proof of concept around the management of the rollout of over 200 electrical charging stations across Belgium, a running challenge became the insight of the future. The complexity of the project required a platform that could provide:

Transparency: Clear oversight of "who is doing what, by when, and why," ensuring alignment across teams.

Resource Management: Effective planning and allocation of resources to support the scale and scope of the projects.

Cross-Department Collaboration: Seamless coordination between departments such as, technology, network development, engineering, marketing, procurement, etc. to ensure consistency and alignment.

The absence of a centralized project management solution hindered their ability to track progress effectively and streamline communication across silos.

 

The Solution

Q8 partnered with Bluehive in December 2023 to implement Asana as their centralized project management platform for the PMO department at first. The implementation process was tailored to address Q8’s unique needs and challenges:

Process Identification and Mapping: The initial phase focused on identifying and mapping the stage gates used to roll out the charging stations. Bluehive worked closely with Q8’s teams to connect cross-silo processes and ensure alignment across departments.

Departmental Integration: PMO and Engineering: Asana was structured to manage the core workflows and activities for these teams, enabling streamlined project tracking and execution.

Scalable Workflow Design: Bluehive supported Q8 in designing workflows capable of managing large-scale projects, ensuring the platform could handle the complexity of their operations.

Further adoption: Additional departments like procurement, marketing and other project oriented departments adopted Asana to manage their work, expanding its usage across the organization.

 

The Results

The adoption of Asana has transformed the way Q8 North West Europe operates, delivering remarkable results:

Scale and Efficiency: With over 40,000 activities and more than 500 live projects managed through Asana, Q8 has achieved unprecedented scalability in their operations.

Improved Transparency: Clear visibility into tasks and responsibilities across departments has streamlined communication and reduced inefficiencies and internal email.

Enhanced Collaboration: By connecting cross-departmental workflows, Q8 is breaking down silos, fostering a culture of collaboration and alignment.

Sustainable Management: The training and support provided by Bluehive empowered Q8’s teams to independently manage their projects, ensuring long-term sustainability.

 

Conclusion

Q8 North West Europe’s journey with Bluehive highlights the power of a tailored proof of concept with Asana and from there moving through implementation with a dedicated team. By addressing key challenges and enabling cross-departmental alignment, Q8 is now equipped to efficiently manage large-scale projects like the rollout of electrical charging stations across Belgium.
